Terms & Conditions

REGISTRATION FEE
All new families to Element Swimming will be charged a one-off $25 family registration fee. You will only need to pay this once for the entirety of your swimming enrolment with us.

MAKEUP POLICY
Students are eligible for 1 make up lesson per month if the absence is reported via the app 1 hour before the child's class time. Make-up classes are only available to actively registered students who do not owe fees. Sorry, no exceptions.

Make up lesson tokens are only valid for 12 weeks once issued. No refunds on expired or unused make up tokens.

Availability of make-up lessons is not guaranteed and once a make up is scheduled, it can not be re-scheduled.

Ideally, you will never need a makeup class since consistency is a key to swimming progress. Please honour the spirit of this privilege and only use it for illness or an occasional special event.


WAITLISTS
You may enrol your children for a maximum of 2 waitlist classes per child for no charge. The waitlist enrolments must be for the level of the child swimming in currently (not the level above). Once a place becomes available, our system will automatically email you asking if you would like to accept or decline the place. Please call or email to confirm.

NON-ATTENDANCE
Element Swimming reserves the right to drop enrolments if a swimmer has not attended for 2 weeks and we have not had a response from our email communication to the family. Their place will be given to the next swimmer on the waitlist. No refunds or make up lessons will be issued.


CHANGEROOMS

In order to maintain a safe environment for children & adults at the pool, all parents / guardians must abide by the below rules.

Parent or guardians can use the first shower closest to the pool to shower their children (of either gender) if required. Shower doors will remain open to allows this. (Indooroopilly only)

Parents or guardians of the same gender as their child can enter that gender changeroom to change or shower their child.

Parents of the opposite gender to their child are forbidden to enter the changerooms under any circumstance.

Parents can ask the Element Swimming staff permission to use the staff changeroom to use the toilet or change their child at any time. (Indooroopilly only - no staff changerooms at other locations)

Any breaches of this policy will be reported to the school & swimming enrolment suspended.


PUBLIC HOLIDAYS
Lessons are not conducted on public holidays. No fees are charged for lessons that may fall on a public holiday and therefore no make up lessons are required.


CANCELLATIONS
If you want to cancel your classes permanently, you must give notice via email to
info@elementswimming.com.au. A minimum of 2 weeks’ notice is required for cancellation of classes. Make up lessons will be created for unattended lessons if required during this notice.

All enrolments are perpetual (ongoing) and the direct debit payments will continue until written notice of cancellation is submitted by the responsible person. Two (2) weeks notice is required to cease enrolment and the direct debit agreement.

Credits or Refunds will not be granted for missed lessons prior to written notification. Cancellations will not be processed until any outstanding amounts owing are paid in full.

Withdrawal due to medical reasons will be actioned as soon as you inform us via email.

We cannot accept verbal notice of changes to or cancellation of direct debit details. All changes must be submitted in writing via email.


CANCELLATIONS DUE TO INCLEMENT WEATHER
Classes will only be cancelled in the event of a thunderstorm with lightning in close proximity to the pool or severe cyclonic weather. Classes will continue as scheduled in wet weather / rain.

Element Swimming may be required to cancel the class or re-schedule the class time as a safety precaution once lessons have commenced. If a lesson has completed more than 50% of the class time, no make up will be given. We will endeavour to arrange a make-up lesson for those swimmers whose classes have been cancelled.

No refunds or credits will be given due to cancellations from a weather event.

All parents / carers will be notified via this app which also sends an email if we need to cancel classes due to the weather, otherwise please assume swimming is still on.

CANCELLATIONS DUE TO POOL EQUIPMENT FAILURE
In the event of pool equipment failure leading to the cancellation of scheduled lessons, our team will notify affected participants as soon as possible.

As an equipment failure is often out of our control, we will provide makeup lessons to ensure that students receive the full value of their purchased lessons. Please note that in the event of a lesson cancellation, Element Swimming will not provide monetary refunds.

We understand that scheduling makeup lessons can be challenging, and we are committed to working with affected individuals to find suitable alternative times.

If your lesson is affected by equipment malfunction, you will receive a notification via email with details about the cancellation and instructions for scheduling a makeup lesson. Our team will be available to assist you in rescheduling and addressing any concerns you may have.


PERSONAL PROPERTY
Element Swimming staff will not be responsible for any items that may be lost or stolen. Be sure your student's personal items are marked with their name.


ARRIVAL AND PICKUP
Be sure your swimmer arrives 5 minutes before his/her scheduled class time. Please pick up your student on time. Please inform us if you know you will be late picking up your student. During peak times from 2.45pm to 3.30pm during school pick up time, parking can be difficult. Please allow extra time to make it to your lesson on time.
